Ready, willing, and able to volunteer at convention? Then, look no further. If you’ve got the time to spare, then we have a job for you. Below are all the volunteer positions we’ll need filled to make the Alpha Phi Omega 2008 National Convention the best one yet!

Please sign up for as many positions as you would like by emailing the appropriate contact person provided. We welcome all volunteers. Special souvenir t-shirts are offered those who log enough hours.

Banquets:

The Banquets Committee is responsible for the planning and execution of both the Fellowship Banquet and the Awards Banquet at convention. We are looking for:

1.     Setup/Breakdown Crew – Volunteers would help with general setup and

break down for banquets, and assist in the arrangement centerpieces and other decorations. No heavy lifting anticipated. You can choose to help with either setup or break down, or help with both.

2.      Ushers – Volunteers would be responsible for collecting tickets and directing banquet attendees to appropriate seats.

Minimum volunteer time: 1 hour

Dances & Entertainment
:

The Dances and Entertainment Committee is responsible for planning and staffing two 
dances, and all entertainment and fellowship WITHIN the hotel. We are looking for:

1.    Setup/Breakdown Crew – Volunteers will be responsible for general setup and break down for banquets and other major fellowships, as well as decorating for these events. You can choose to help with either setup or break down, or help with both. No heavy lifting anticipated.

2.    Staffing – Volunteers will serve as dealers, bingo callers, peacekeepers etc. for Casino Night on Monday, December 29th.

Opening Ceremonies
:

The Opening Ceremonies Committee is responsible for the planning, coordination and execution of all activities pertaining to the formal opening of convention, including any associated rituals and roll call. We are looking for:

1.     Video Team – Volunteers will assist in the monitoring and production of last minute roll call submissions. They will use video and computer equipment to register chapters and record/download videos.  
 
2.     Entertainment Liaisons – Volunteers will meet, greet, and guide musicians and other groups performing at Opening Ceremonies.   

3.      Ushers – Volunteers will assist with direction and flow of participants, especially for seating, as well as aid in the distribution of souvenirs

4.      Setup/Breakdown Crew – Volunteers would be responsible for arranging all materials prior to, and after Opening Ceremonies. No heavy lifting anticipated.

Project Be Kind:

Project Be Kind is responsible for planning and coordinating “A Taste of Boston,” a new program will allow Voting Delegates to take an extended lunch break to Quincy Market on Monday, December 29th. This will be an opportunity to thank these brothers for their hard work by allowing them to leave the legislative floor and experience the city of Boston. We are looking for:  

Guides – Volunteers will be stationed at key locations at the hotel, relevant T (subway) stations, and Quincy Market. Volunteers will be responsible for guiding .Voting Delegates from the hotel to Quincy Market, and back again. No prior knowledge of Boston is required. Training will be provided in the morning. All volunteers are welcome.

Minimum volunteer time: 3 hours

Photography:

Photography Coordination is responsible for providing convention photographers for each event, collecting and distributing photographs for slideshows and convention keepsakes, and providing photographic material for the daily convention publication, “The Lightbearer”. We are looking for:

1.     Photography Assistant, “The Lightbearer” daily newsletter – Volunteers are responsible for coordinating with reporters from Printing &Publications to cover pre-assigned convention events for “The Lightbearer”. Strict deadlines need to be followed. Should be able to provide own digital camera. Experience using photo editing software a plus.  
 
2.     Photography Assistant, Slideshow/Keepsake DVD – Volunteers will be responsible for staffing a station for conference attendees to hook up their personal cameras and copy photographs onto the convention system. These photographs will then be added to a continuously displayed slideshow in the hotel gallery. Experience using photo editing software a plus.  

3.      General Photographer – Volunteers will be responsible for covering general  convention events. Should be able to provide own digital camera. Experience using photo editing software a plus.

Registration:

The Registration Committee is responsible for planning, coordinating, and organizing the registration of all convention attendees. We are looking for:

 1.      Greeters – Volunteers should wear APO letters and will be responsible for:  

        Entrance
  • Explaining the emergency contact sheet sign-in
  • Directing registrants to the registration table/Day of Registration
  • Being acquainted with general registration procedures Registration

  • Directing/redirecting registrants to the appropriate registration location
  • Directing registrants to the Problem Area is issues arise

2.     Registration Tables –  Volunteers should wear APO letters. They will be responsible for checking registration packets and signing off on registrants as they are processed, directing Voting Delegates to the appropriate check-in area, directing registrants with problems to the Problem Area, utilizing runners, and being acquainted with general registration procedures.  
 
3.     Pre-Conference Volunteering – Volunteers will be responsible for creating packets for registrants/Voting Delegates/ VIPs, setting up badges and ID tags for all registrants, and assisting with other pre-conference setup tasks for registration.

Safety & Security:

The Safety and Security Committee is responsible for ensuring the safety and wellbeing of conference attendees by publishing a “Safety Tips” handout, advising attendees against unsafe conduct, and patrolling the convention facilities to maintain peace and the fraternity’s relationship with other guests and hotel staff.  We are looking for:

Security Patrol – Volunteers will be responsible for pairing up and patrolling the Sheraton Boston during the nights of convention. Primary responsibilities include ensuring the safety of conference attendees, and enforcing hotel and fraternity regulations.

Sergeant at Arms & Floor Services:

The Sergeant at Arms & Floor Services Committee is responsible for assisting with the legislative process by providing Sergeant at Arms for each Reference Committee and to keep order at the legislative sessions, as well as coordinating Floor Services aides for vote counting, message delivery, etc. We are looking for:

1.     Sergeant at Arms, Reference Committees – Volunteers will be responsible for supporting the Reference Committees by serving subpoenas to members of the national fraternity, keeping unwanted intruders out of closed sessions, and otherwise serving the needs of the committees.  

Needed volunteers: 15 night of the 27th, all day 28th

2.      Floor Services – Volunteers will be responsible for counting votes on the legislative floor, delivering messages and other items between delegates and to the outside world, and otherwise keeping the legislative sessions running smoothly.  

Needed volunteers: 30 all day 29th, legislative session on the 30th

3.      Sergeant at Arms, Legislative Sessions – Volunteers will be responsible for ensuring that only attendees with the proper credentials enter and exit the legislative floor at the appropriate times. They are also responsible for maintaining order in the Gallery.

Needed volunteers: 5-10 day of the 29th, legislative session on the 30th

Service

The Service Subcommittee is responsible for planning all in-hotel and community-based service projects available at convention. We are looking for:
  1. Setup/Breakdown Crew - Volunteers would be responsible for following the directions of the Project Leader to organize and arrange all materials for service project, as well as help in directing project participants. No heavy lifting anticipated.
  1. Project Leaders - Volunteers would be responsible for coordinating project participants and volunteers on-site.

Workshops:

The Workshops Subcommittee is responsible for planning and coordinating workshops at convention, as well as organizing presenters. We are looking for:

Workshop Ambassadors – Volunteers would be responsible for directing presenters to their rooms, introducing presenters at the beginning of the workshop, and handing out and collecting preprinted evaluations at the end of the workshop.
